Terms, Conditions & Cancellation Policy

Welcome to Gaurishankar Mountain Sherpa (GMS). Please review the following terms and conditions carefully. By booking with us, you agree to adhere to GMS rules and regulations. If you have any questions regarding these terms, please contact us.

Booking:

  • A 15% deposit of the total trip cost is required to confirm your booking. This deposit is non-refundable.
  • The remaining balance is due upon arrival in Kathmandu. Payments can be made in cash in USD, Euro, GBP, AUD, CAD, or SGD.
  • There is no booking fee when booking through the GMS website. However, a 3.5% fee applies to payments made by credit card.

Required Documentation:

  • A copy of your passport and a passport-sized photo are needed for flight, hotel bookings, trekking permits, and other legal processes related to your trip.

Cancellation and Refunds:

  • 30 days or more before the trip start date: 15% deposit is non-refundable.
  • 15-25 days before the trip start date: 35% of the total trip cost.
  • 7-11 days before the trip start date: 50% of the total trip cost.
  • 7 days or less before the trip start date: 70% of the total trip cost.

Passport & Nepal Visas:

  • Clients must have a valid passport with at least 6 months’ validity remaining. Nepalese visas can be obtained from Nepalese embassies in your country or on arrival at Tribhuvan International Airport (TIA), Kathmandu. The cost of the visa is the client’s responsibility. Please refer to our visa information page for details.

Insurance:

  • Insurance for GMS staff is covered by GMS. However, clients are responsible for their own travel insurance. Clients should provide their insurance policy documents at the time of booking confirmation or before arrival at TIA, Kathmandu.

Incomplete Trips:

  • GMS is not liable for refunds if the trip, trek, or expedition is cut short for any reason. All payments for treks and expeditions are made upfront to our leaders, guides, and porters. Should you return early from the trek, you will be responsible for any additional costs, including extra days of hotel accommodation and meals.

Acceptance of Risk and Liabilities:

  • Gaurishankar Mountain Sherpa is committed to delivering excellent service to ensure a smooth and successful trip. However, we and our affiliated organizations are not responsible for itinerary changes due to circumstances beyond our control, including government restrictions, landslides, roadblocks, floods, bad weather, political issues, flight cancellations, sickness, or other risks.

Privacy:

  • Gaurishankar Mountain Sherpa strives to make your trip comfortable and successful. You travel at your own risk at all times.

Complaints:

  • If you encounter any issues during your trip, please address them with our trip leader. If the issue remains unresolved, inform us before your departure from Kathmandu, and we will work to resolve it at our office.
